Student Records Advisors (SRAs)

The role of the SRAs is to provide support and help for all Student Records users across the Faculties and to assist in system testing and development for Academic Registry. The other purposes of the SRAs is to act as an intermediary between Student Records users and the Faculty Advisers, as well as to forward any general issues that users may have with the system to Academic Registry to try and find ways of resolving them, and to meet any training needs that may be required.

However, there are some basic differences between the Student Records Advisors and Faculty Advisors, and the following notes are to give a better understanding of 'who does what and when' in relation to Student Records, but also to reinforce the fact that we work as a team and no one would refuse to help with queries that are not necessarily 'their' area/role. Whilst the roles are distinctly different in many areas, this shows that there is a blurring over some elements. The list is not exhaustive and may be updated and amended over time and as necessary.

Basic split of tasks

Student Records Advisors deal with:

  • Day to day student queries
  • Training/access for Discoverer

Faculty Advisors deal with:

  • Curriculum
  • Assessment set up
  • Units/Juno

Both deal with:

  • Board queries
  • Specifications for new reports

Business processes

This is dependent on the trigger for the request:-

  • If it comes from the Faculty/Department, it would normally be passed to the SRAs.
  • If it comes from Registry/centrally, it would normally be passed to the FAs.

Registration (September/October)

  • Student registration - SRAs

  • Validation (continuing to Christmas/end of term) - FAs
  • Current year unit amendments and course structures - FAs

Christmas

  • Assessment reports, reworks if required - FAs
  • Continuing validation - FAs

Semester 1 assessments

  • Mark inputting - SRAs
  • UABs - initially SRAs
  • Referral structures - FAs
  • ECF queries - SRAs

February intake registration

  • Student registration - SRAs
  • Curriculum issues - FAs
  • Validation (continuing to Easter) - FAs

February to April

  • Course structures/UMAs/planned curriculum/option choice forms for next year - FAs

Semester 2 assessments

  • Mark inputting - SRAs
  • UABs - initially SRAs
  • ECF queries - SRAs

BOEs

  • Anyone you can get hold of!
  • Rolling forward to next year - FAs

Graduation

  • Validation - FAs and SRAs
  • Graduation checking - FAs

Referral Boards

  • Anyone you can get hold of!
  • Rolling forward to next year - FAs
  • Preparing Records for Next Year - SRAs

Any time of the year

  • Reports - Both
  • Discoverer - SRAs
  • Business Processes (existing and new) - Both
  • Upgrades - Both
  • Investigations of new areas - Both

Boards

At board times, it can be difficult to get hold of a specific person if there is a high volume of queries. Problems are generally discussed and fixed between all members of the team, so any SRA or FA will be able to help you, or carry out tasks (such as rolling people back from second sitting and opening up first sitting) that are usually passed to registry.
