The Reprints Collection

The Library’s Short Loan Collection provides access to core texts for a short period of time. However, the Library does not always hold an original book or journal: in this instance, the Reprints Collection may fill the gap.

The Reprints Collection makes available chapters of books and articles from journal issues where the original cannot now be purchased. Each item submitted has to be “copyright cleared” before we can add it to library stock, so please give us plenty of time to obtain permission before the item is required for use by the students.

When submitting a request for an item to be added to the Reprints Collection:

In addition to your name, please provide us with a full citation of the source of the item so that we can arrange for permission to hold the reprint in stock. You do not have to supply us with a copy of the item.

Items already in stock. The only case in which we can place items straight into the Reprints Collection is if it is copied from a book or journal that is already in stock. Copyright legislation allows us a copy of up to 5% or a chapter of a book or an article in a journal already in our stock.

Applying to the copyright holder. All other submissions may be subject to a time delay while we wait for copyright clearance – either from the British Library, which offers a “copyright cleared” service, or direct from the publisher. Any clearance costs will be charged to the departmental bookfund.

Should you wish to have an online list for students to use, which groups together your reprints into subjects, we could take advantage of the Reading List facility on the Library catalogue. If you wish to use this, please specify when you submit your request and provide subject headings.

Requests should be submitted to Linda Holt, Dave Rees-Whelan or Kath Shakespeare at the Issue Desk, University Library. We will let you know how the requests are progressing and when the items are available for student use.

Electronic Reprints

This service makes available in digital format, via the Web version of the Library’s catalogue, chapters of books and articles. Each item submitted has to be “copyright cleared” before we can add it to library stock, so please give us plenty of time to obtain permission before the items is required for use by the students.

When submitting a request for an Electronic Reprint

In addition to your name, please provide us with a full citation of the source of the item so that we can arrange for permission to hold the reprint digitally and the number of students on the course for which you need each reprint. You do not have to supply us with a copy of the item.

Copyright clearance is obtained via the CLARCS (Copyright Licensing Agency Rapid Clearance Service) or direct from the publisher. The charge for this varies with each request (as the cost is calculated per page per student), as does the length of time to obtain clearance.

Please note that, in most cases, we will have to seek permission on a recurring basis, should you need a particular item available electronically year on year. This is because clearance to hold a digital copy is given for a period of time only (usually for the duration of a particular course).
