As we approach the holiday season, please remember to put an appropriate Out of Office (OOO) message on your email and voicemail that re-directs any enquirers to other sources of help in your absence.
This is an important part of managing the University’s communications professionally and mitigates complaints.
Complying with the Freedom of Information Act
It is also important to have an OOO message on your email account redirecting enquirers so that the University does not lose any of the time available to respond to requests made under the Freedom of Information Act.
Guidelines for dealing with email and post in cases of staff absence
Guidelines on appropriate text (section 2.2) and instructions on how to place an OOO message on your emails (section 2.3) can be found at www.port.ac.uk/accesstoinformation/policies/directorate/filetodownload,63476,en.pdf.
