It’s G-Day on Monday!
From 7am on Monday 17 December your GroupWise account will no longer be active, and your University email, calendar and contacts will transfer to Google Apps.
As the switchover to Google Apps takes place throughout the day, you may experience some minor delays in receiving emails in the new system. By 4pm, all emails will be received immediately into Google Apps.
Log in to Google Apps
From Monday 17 December you will need to log in to your Google Apps account. Google Apps is web-based, so you can log in from anywhere you have internet access:
- open up a web browser
- use the links to Google Apps Mail or Calendar on www.port.ac.uk/staffessentials, or visit mail.port.ac.uk
- your username is different to your network account – it’s the first part of your email address, for example joe.bloggs
- your password is your standard University network password (the one you currently use to access GroupWise)
The first time you login, you will be asked to read through and accept the University of Portsmouth Google Apps terms of service and privacy policy.
Get started
On G-Day, view the quick-start Mail and Calendar guides, work through the Post-migration Checklist, and start organising your mail.
Help on G-Day
Information Services staff will be available in most buildings throughout the day to answer any questions you may have, and the IS Service Desk can be contacted on ext. 7777 or at servicedesk@port.ac.uk.
You can also speak to your Google Apps User Champion.
Mobile devices
If you access your GroupWise email and/or calendar from a smartphone or tablet, you will need to setup your device for your new Google Apps account from G-Day, and remove your old GroupWise settings.
Click here for instructions on how to setup mobile devices to receive email and calendar.
If you require any additional advice or help on setting up your smart device to work with your University Google Apps Email or Calendar, come along to our smart device drop-in service at the Student IT Help Centre (located next to the Student Union – view map).
The drop-in service will be open between 10am – 2pm from Monday 17 to Wednesday 19 December.
Online support
If you have any questions, use the FAQs, video clips or Tips and Tricks on the University’s Google Apps Help pages

It would be nice to have an icon as for Groupwise to open our new email and calendar.
I am not enjoying getting email from places I do not usually get it, like the Student Union. More time getting rid of unwanted email.

Hi Alida,
Thanks for the suggestion – it may be something that we can look in to deploying in the future. For now, Icons for both email and calendar can be found on the Staff Essentials web page, which is the default homepage on University machines.
The migration to Google Apps will not have changed the emails you receive from members of staff in the Student’s Union.
Google’s spam filter is very powerful and generally prevents any unwanted emails from getting through. If you are receiving unsolicited emails, please contact the Service Desk on ext 7777 and they will be able to advise you further.
Kind regards,
Paul
